Instagram DM automation for salons, without the robot voice

Most salons lose bookings in the same place: the inbox. Someone watches a reel at eleven at night, asks “how much for balayage?”, and by the time you reply between two clients the next morning they have booked somewhere else. Nobody did anything wrong. The shop was closed and the question wasn’t.

That is the problem DM automation is meant to solve. Done badly, it makes you sound like a call centre. Done well, nobody can tell.

What is worth automating

Price and duration questions. These are the majority of DMs for most salons, and the answer never changes. If a service costs $180 and takes three hours, a machine can say so faster than you can.

Availability and booking. This is the one that actually earns money. A client who has to leave Instagram, open a website and fill in a form will often not arrive at the end of it. Offering three times inside the chat, as buttons they can tap, converts far better.

Reminders. Most no-shows are people who forgot, not people who don’t care. A message the day before and a couple of hours before, with a one-tap way to move the time, turns a lost hour into a rescheduled one.

The review ask. Two hours after a visit is the moment someone is most willing to leave a review, and the moment you are least likely to remember to ask.

What should stay human

Complaints and refunds. Never let software negotiate these. It should recognise them and pass them straight to you.

Anything medical. Reactions, allergies, skin conditions. An automated reply here is a liability, not a convenience.

Price exceptions. Discounts, package deals, “can you do it for less” — that is your call, not a bot’s.

The relationship. Regulars who chat with you should still get you. Good automation steps back when a person steps in.

How to set it up

1. Write your menu down properly first. Every service, the real price, the real duration, and the buffer you need afterwards. Automation can only be as accurate as this list. Most bad experiences come from a bot quoting a price the salon no longer charges.
2. Write your policies in plain sentences. Cancellation window, deposit rules, late arrivals, patch tests. Three or four lines is usually enough.
3. Connect your calendar so the times offered are times you are actually free. Offering a slot you can’t honour is worse than not answering.
4. Decide your handoff rules. Refunds, complaints, anything unclear. Make sure you get a notification when it happens.
5. Test it on yourself. Message your own account and try to break it. Ask about something you don’t offer. Ask for a discount. See what it says.

The one rule you cannot ignore

Instagram only allows automated replies within 24 hours of the client’s last message. Outside that window, only a human can reply, and only up to seven days. Any tool that promises unlimited scheduled messages to old conversations is either using a loophole or risking your account.

In practice this matters most for reminders. If someone books a week ahead, the window will be closed by the time the reminder is due. Collect an email at booking so the reminder has somewhere to go.

Before you install anything

Two things are worth settling first. Whether the tool is built on Instagram’s official API or logging in as you — the difference matters more than any feature list. And whether you publish your prices at all, because the price question is most of what arrives in your DMs, and a published number answers it before anyone has to type.

What good looks like

A client asks a price at 11pm. She gets an answer in seconds, in your voice, with the correct number. She’s offered three times on Saturday, taps one, and gets a confirmation. She gets a reminder on Friday. After the appointment she’s asked how it went, and if she loved it, pointed to your Google page.

You did none of it, and no part of it felt automated to her. That’s the bar.

Setting it up is a morning’s work, most of it writing things down: the whole process, step by step.
